Octagon Professionals is looking to recruit a number of staff to provide a service to ESTEC in the Netherlands (based in Noordwijk) in the area of Business Management Support in the Human Robotic and Exploration Directorate, which leads the development of several space projects (e.g., lunar projects, Mars & beyond, etc.).
In relation to Management Systems Support, Octagon is seeking skilled professionals to undertake the following tasks:
- Develop and plan the knowledge Management (KM) activities for HRE in coordination with a unit of HR;
- Shape the Lessons Learned process forHRE by supporting:
- The identification, capturing, documentation and validation of Lessons;
- The dissemination and implementation of learning from Lessons;
- The facilitation and accessibility to Lessons for HRE. And the ESA wider community;
- The preparation and coordination of events for lessons sharing;
- Digital feedback surveys and analysis of results;
- Collect and archive knowledge from experts and persons retiring or departing from HRE;
- Support and coordinate knowledge transfer activities;
- Support knowledge dissemination;
- Maintain the content of KM portal and support portal evolutions;
- Support new KM tools of portal requirements definition, perform testing, and support the rollout of new KM tools/websites (SharePoint/MS Teams applications);
- Organise, prepare and coordinate HRE onboarding briefings;
- Organise, prepare and coordinate HRE workshops and their feedback surveys;
- Coordinate with corporate KM providing feedback and disseminating relevant documents and information;
- Produce process optimisation analysis from integration of lessons learned;
- Support to management audits (e.g. QMS);
- Proactively contribute to ESAs activities in capturing knowledge and elaborating best practices in KM;
- Support actions related to improvements in the working environment;
- Apply change management and agile approaches to continuous improvements in KM;
Quality Management Systems Support. The tasks include:
- Support QMS planning and coordination of approved activities;
- Support, prepare and coordinate QMS audits, report findings and action item monitoring and implementation;
- Support and perform evaluations of HREV processes, systems and outputs to ensure compliance;
- Organise and coordinate meetings and activities to identify gaps, risks, and areas of improvement in QMS performance;
- Consolidate QMS recommendations and solutions based on best practices and track actions;
- Coordinate and support activities for the editing and consolidation of various QMS materials;
- Maintain the content of the HRE QMS website;
- Perform editing/update and issue of QMS documents;
- Support, prepare/update and consolidate inputs for QMS as part of the onboarding process and briefings;
- Coordinate and support activities for the editing and consolidation of QMS materials;
- Prepare templates for QMS materials ;
- Contribute to best practices in QMS in ESA;
Requirements:
- Bachelor's degree level in science/engineering and/or business subjects. Professional certifications in relevant areas are an asset;
- Minimum 4 years of demonstrated related experience in space/high-tech sector and the work package/tasks described above;
- Proficient with one or more of the following: Microsoft365, Viso Professional, ESA-P, ESA-STAR, EROS, THREAD, Polaris, ECLIPSE, OMNES, WLMS, CIFM, MAS, IPCDB, HRE Workforce Database, PowerBI, Business Objects, LLM modules, ESA Data Factory and Symbio/Zenith;
- High capacity to communicate effectively with international teams from engineering, technical and business domains;
- High level of organizational skills, flexibility and ability to identify priorities;
- Strong and effective interpersonal and communication skills;
- Fluent in English, both written and spoken.
