Your role as a Insurance Assistant (32 - 40 hours)

Key responsibilities:

As an Insurance Assistant, you will be a member of a small, but highly qualified and experienced Treasury/Insurance team in a dynamic and international business environment. NewCold Insurance is part of NewCold's Treasury department where the team has a proactive and integrated role in the NewCold business. Its main objective is managing the overall insurance portfolio of the organization ranging from operations to projects.

The holder of this position is going to support the Insurance Manager and ensure that all administrative processes run smoothly.
Your responsibilities will be a broad range of activities, you will be able to work independently and report to the Insurance Manager. You will deal with the day-to-day administrative processes to ensure that these runs smoothly. You will assist on obtaining relevant information and documentation regarding the renewals of the policies, claims and Certificates of Insurance as well as monitor the upcoming (renewal) items. This is in close cooperation with the Insurance Manager and NewCold's external insurance consultant.

  • Provide correct invoicing details, follow up on (timely) payments, follow up on chasers
  • Obtain and verify the accuracy of the Certificates of Insurances
  • Maintaining and overseeing the calendar for obtaining information and providing / sending documents
  • Compiling and maintaining overviews in view of the Certificates of Insurances (when to provide to which parties)
  • Compiling and maintaining overview of insurance requirements (anchor) customers
  • Keeping track of approved Certificates of Insurances of the contractors for each project
  • Maintain and keeping track of renewal information
  • Update documents Insurance Library (policies, risk manual, claims manual, allocation etc.)
  • Updating and maintaining overview pending Construction All Risk Insurances (CAR)
  • Tracking deadlines / monitor expiring policies
  • Obtaining information and documentation regarding (the extension of) CAR insurances
  • Updating and maintaining overview group policies
  • Updating and maintaining overview local policies
  • Providing support with obtaining renewal information
  • Providing support with obtaining / providing information in case of claims
  • Back up Netsuite entries

Who we are looking for:
We are seeking motivated and forward-thinking individuals who thrive in collaborative and fast-moving environments. Our ideal candidate has:

  • Minimum of 3 years working experience, preferable in the insurance industry
  • MBO/HBO level - administrative, economics, financial, banking & insurance field
  • Efficient calendar management (overseeing and anticipating), punctual and reliable
  • Accurate, detail oriented and strong communication skills
  • Team player, able to work with different teams across the globe
  • Able to work independently
  • Fluent in English both verbal and written, preferable fluent in Dutch as well
