We are looking for an Event Support to join the Octagon Professionals projects team at the European Space Agency (ESA) in Noordwijk (ESTEC). This role will support the Directorate of Human and Robotic Exploration at ESA, with responsibilities in both Noordwijk, The Netherlands, and Cologne, Germany. The purpose of this service is to assist HRE-FS in defining, planning, and executing internal and external communication and outreach activities. The ideal candidate will demonstrate integrity and professionalism.

The successful candidate will be tasked with, but not limited to:
For communication material and assets:
- Support HRE representation in the coordination bodies responsible for exhibits (physical and multi-media) displayed ESTEC-wide and for the operations of ESTEC facilities (including Erasmus);
- Design and set up new, and update and maintain existing HRE-related exhibits and content (mock-ups, displays, digital multi-media content) in the Erasmus Centre high-bay, ESTEC main corridor, rainbow corridor, and any other ESTEC areas as needed;
- Design and create new, and update and maintain existing HRE-related exhibition material and its content contributing to temporary/permanent exhibitions and events on other ESA sites or externally;
- Provide logistics support to scale models at external/internal events, being the bookkeeper of the scale models' fact sheets and being responsible for the creation of Loan Agreements for scale models to third parties;
- Maintain an inventory/database and cover logistic aspects of all HRE-related communication material and products (e.g. exhibits, scale models, photographs and videos, pins, mission patches, other goodies and promotional items);
For exhibitions and events (internal and external):
- Provide various logistic support or plan, coordinate, and implement end-to-end exhibitions and events. This may include:
- Venue scouting;
- Branding and promotion of the events;
- Design and implementation of exhibitions;
- Manage the registration tool;
- Support competition and challenges in logistics;
- Identify additional external services needed (e.g. moderation, technical support, catering);
- Request offers and quotations, negotiate prices and conditions;
- Present the proposed outline for the event to the customer to seek approval and confirm event planning to the customer.
Organise and support as needed effective on-site support for exhibitions and events.
Job Requirements:
- A Master's or Bachelor's degree in a relevant field;
- At least 4 years of relevant experience;
- Highly proficient in communication means and social media;
- Professional trainings in relevant subjects is an asset;
- Customer orientated;
- Teamwork attitude;
- Diplomatic and political sensibility;
- Understanding of international environments;
- Autonomy in delivery;
- Proactive attitude;
- Open to flexible working hours;
- Fluency in English, both written and spoken.
